Terms and conditions

Your registration constitutes a contract through which you accept all and each of the following terms and conditions. No other representation, warranty or modification will bind Study abroad VTE, unless an attesting document is signed by the agency. This contract prevails over any other agreement concerning your trip. Therefore, please read the following information carefully. The term student in the text refers to any person buying any kind of trip from the Study abroad VTE agency by the means of a group organizer or directly from the agency.

Registration

We recommend registration a minimum of 45 days before the course starting date. No registration is considered prior to the reception of the registration form and the accompanying deposit. A supplementary charge of $50 plus taxes is required for registrations made 15 days or less before the beginning of the classes. From June 5th to September 15th, the extra charge of $50 is required for any registration received 21 days or less before the course starting date.

To register, complete and sign the registration form and send by mail or fax with the deposit or the final payment. You can also use the registration form on our web site in which case you will have to send your payment separately. For all trips, checks must be made to the order of Study abroad VTE or Voyages Tour étudiant.

Deposit and payment

A deposit of $350 for your study abroad program is required with your initial registration. This amount does not include cancellation insurance or supplementary insurances, nor does it include the deposit or final payment for airline companies at the time of ticket booking. The balance due must be paid at least 45 days prior to departure. Full payment is required for registrations received less than 45 days before departure.

Confirmation of a study abroad program

Allow 3 to 5 days for us to confirm your trip following the reception of your registration at our office.

Cancellation policy

Any cancellation must be forwarded by mail or fax to Study abroad VTE.

Any cancellation leads to the following fees:

Changes / Modifications: $50 + taxes

Study Abroad VTE cannot guarantee that the changes or modifications requested will be available. In the event that a student cancels his/her study abroad program as a result of the requested changes not being possible, the student will be submitted to this policy.

Authorization

The student authorizes Study abroad VTE to send personal information to the school for the purpose of host family placement such as age, health condition, diet preferences, hobbies, etc.

Complaints

It is essential that you advise Study abroad VTE of any complaints as soon as possible. While abroad, you must immediately contact the language school director or Study abroad VTE director (1 800 463-2265 for Canada, USA and Hawaii, use e-mail for other destinations) so that the situation may be rectified. No complaint will be considered if the student did not contact Study abroad VTE during the program to inform us of the situation.

Insurances

Students are invited to purchase, from Study abroad VTE, cancellation insurance in the event that, for serious reasons (sickness, injury or death happening to them or to a family member), they would have to cancel their trip before or during the program. We also strongly recommend hospitalization insurance for those who do not have personal insurance. The cost of insurance is strictly non refundable. You must be aware of pre-existing medical conditions exclusions contained in your insurance policy at the time of purchase.

Required documentation

Students agree to obtain, at their expense, all documentation required by the applicable governmental authorities (birth certificate, vaccination certificate, passport or visa if necessary). They must verify what documentation is necessary and have it before leaving. In the event the traveler does not conform, the carrier or competent authority may refuse boarding and the traveler will not be able to obtain a refund. Students must verify with their local CLSC or travelers medical clinic to see if vaccinations are necessary.

Prices shown

Unless marked, all prices are in Canadian dollars ($CAD). These prices are subject to change without notice before or at the time of final payment. A change may occur as a result of fluctuation of the value of the Canadian dollar or increase in the cost of fuel, etc.

Study abroad vte responsibility

Study Abroad VTE acts only as an agent for schools, accommodations in host families or in residence, hotel arrangements or transport by air, bus or other means and assumes no responsibility for any delay, loss of personal goods, injury, accident, death, damage, inconvenience, loss of pleasure, upset, disappointment, distress or physical or mental frustration resulting from an error of the providers or agents.

Student's responsibility

The student agrees to accept all reasonable directives issued relating to the contract while the student is abroad. If a student's conduct should be prejudicial to other students or service providers and if he/she should persist with such conduct in spite of a formal warning from the service provider or his/her representative, the student will be expelled and will assume all charges as a result of his/her misconduct including all supplementary costs that he/she must incur for his/her lodging, food and transportation.
